Help with reviewer editorial comments

Hello,

This is my first time using the OJS platform, so I appreciate your patience as I navigate it. Due to circumstances beyond my control, I serve as the editor for our journal and consequently hold all associated roles within the system. I’m uncertain whether this configuration might be contributing to the issue I’m experiencing.

Context: Our journal operates with a limited pool of reviewers, which means individual reviewers are often assigned to multiple submissions. To support our reviewers, I created a rubric using Qualtrics and included the survey link in the “reviewer guidance” section.

The Issue: I noticed that some reviewers were submitting their feedback only through the external Qualtrics survey rather than entering editorial comments directly into OJS. In an attempt to consolidate this feedback, I copied their comments from Qualtrics and pasted them into their OJS reviews. However, I discovered that when I did this, the comments appeared on all submissions assigned to that particular reviewer, not just the intended one.

Initially, I assumed this was user error on my part—that copying and pasting as the editor somehow caused the problem. However, I’ve since learned that at least one reviewer may have experienced something similar, reporting that they accidentally submitted comments to the wrong submission.

My Questions:

  • Is there a setting that could be causing comments to populate across multiple submissions for the same reviewer?

  • Am I approaching this workflow incorrectly?

That sounds pretty unusual! Are you able to provide the steps in order to reproduce that behaviour?
