Per-Submission Option to Suppress Confirmation Emails

Feature Request: Per-Submission Option to Suppress Confirmation Emails for Individual Submissions on a Case-by-Case Basis

Describe the problem you would like to solve
Journal managers need to submit articles on behalf of authors (for back-issues, migrated content, content from non-OJS channels, etc.) without triggering a confirmation email to the author.

Describe the solution you’d like
Add a per-submission checkbox in the submission workflow (visible only to managers/editors) that allows them to opt out of sending the confirmation email for that specific submission. The checkbox would default to the journal’s configured setting (Settings > Workflow > Emails > New Submission) but allow override on a case-by-case basis.

Technical Details

  • When a manager/editor creates a new submission, include a checkbox: “Send confirmation email to author(s)”

  • This checkbox should only appear for submissions created by users with manager/editor roles

  • Organic author submissions would not display this checkbox and would follow the journal-wide setting

  • The setting should persist through to when the submission is finalized

Hi @ej2432,

Are you able to differentiate this from what the QuickSubmit plugin already does: https://docs.pkp.sfu.ca/quicksubmit/en/ ?

Thanks for your reply, @rcgillis. My specific use-case is for when journal managers complete incomplete submissions on behalf of authors, for the purpose of cleaning up the submissions queue and declining incomplete submissions. Does that help clarify?
