Moving a submission to the Copyediting stage does not automatically lock the Review stage or prevent authors from uploading files there

I use OJS version 3.5.0.5 as an administrator and chief editor. When I accept a submission and send it to the copyediting stage, the author can still access the review panel and upload a revision. How can I limit the author’s access to uploading?

Access to various stages in the workflow is controlled by role/stage permissions. In OJS 3.5, an author could still upload revisions if their role has access to the review stage and the submission is still in a workflow state that allows author revisions.

If the submission has already been accepted and moved on to copyediting, but the author still sees the review panel, that often means the author is still a participant with review-stage access on that submission. In OJS, authors can keep seeing and acting on their submission while it remains accessible to them in the workflow (provided they have the a role that is given access to a particular stage), so simply moving it to copyediting may not remove their upload ability by itself. So, a few things to try may be:

  1. Remove the author’s review-stage access for that submission if your workflow requires it. However, you may find that this complicates things if you are trying to provide access to the review stage for when the author does require it. It may be worth experimenting to see if this meets your needs.

  2. Keep only the copyediting participants you want involved, such as the copyeditor or editor.
